HOA For All — Community Portal

The Challenge

Most HOA boards juggle volunteer time across email chains, shared drives and one-off PDFs. Owners miss announcements, meeting minutes get lost, and ADA-style accessibility complaints can put the board personally on the hook.

Off-the-shelf HOA tools were either built for property managers (and priced for them), or stuck in a 2010-era UI that owners refused to log into. The board needed something that homeowners would actually open.

Our Solution

We designed HOA For All as a single portal owners open the way they open their banking app — clear announcements, a searchable archive of meetings, and a visual map of the neighborhood instead of a list of plat numbers.

Every action that matters legally — announcements, votes, fines, contact attempts — is audit-logged so the board has a defensible record. Accessibility was not bolted on; it was the design constraint from day one.

What We Built

• Interactive 3D neighborhood map so owners can find their lot and the board can highlight common areas, projects and incidents.
• AI meeting summaries — upload a recording, get a structured minute draft and a searchable transcript the board can publish in minutes.
• SMS + email broadcast with delivery receipts so the board can prove an announcement actually went out.
• Audit-logged announcements, document storage and member directory.
• WCAG 2.2 AA compliance: full keyboard support, proper landmarks, contrast-checked palette, screen-reader tested.
• Dedicated server hosting with backups, sized for HOAs from 30 to 500 homes.

The Approach — What We Weighed

The board's real exposure wasn't missed emails — it was accessibility liability and the loss of a defensible record. That reframed the build from 'a nicer portal' into a decision about who owns the audit trail and how far we could trust a managed vendor with it.

Options on the table

• License an existing property-manager platform — fast to stand up, but priced and designed for managers rather than owners, with accessibility out of our hands.
• Build custom on a dedicated server — full control of the data, the audit log and the WCAG 2.2 AA work, at the cost of more up-front engineering.
• Route meeting recordings through a cloud transcription API — quick to wire in, but it puts private board sessions on someone else's infrastructure.

What we proposed

We built custom on a dedicated server so the HOA owns its own audit trail, and we could treat WCAG 2.2 AA as a design constraint instead of a bolt-on. Accessibility and a timestamped, exportable record are precisely the things a board can be held personally liable for — so keeping both in-house, rather than renting them from a manager-first SaaS, was worth the extra build time.
