The Approach — What We Weighed
The pivotal decision was where the audio and the AI actually run — because meeting audio is sensitive, and the transcription plus summarization layer is the whole product.
Options on the table
- An off-the-shelf meeting-notes SaaS — fastest to stand up, but the recordings live on someone else's platform and the summaries can't be shaped to the client's format.
- A fully self-hosted speech-and-language stack — maximum data control, but a heavy ops burden and slower transcription accuracy to reach on our own.
- A hybrid — managed speech-to-text and a hosted language model behind our own capture, archive and email layer, so we own the workflow and the data model.
What we proposed
We built the hybrid. Best-in-class transcription and summarization came from managed AI services, while capture, the searchable archive and the structured email summaries stayed in code we controlled.
That gave fast time-to-value without locking the client into a rigid SaaS — summaries match how the team reads, and the transcript archive is theirs to keep and search.
